Volunteer at Meaningful Care
The conference planning committee is seeking onsite and online volunteers for the 2026 2SLGBTQ+ Meaningful Care Conference!
We are looking for volunteers to help with arrival support, registration desk support, and breakdown and clean-up at the end of the conference. We also need on-site and virtual room champions for each session to help with technology set-up and speaker support. These roles include Session Onsite Support, Session Onsite Zoom Facilitator, and Virtual Zoom Facilitator.

As a valued volunteer, we would like to invite you to attend the conference as well! Those who volunteer for more than 2 hours can attend the conference at a 75% discount, and those volunteering for 2 hours or less can attend at a 50% discount. Once you have signed up on the form, you will receive a discount code to register.
We will host virtual trainings for those who have volunteered as a presentation support facilitator. This will be held the week of the 23rd of March online, and will be recorded for those who cannot attend virtually on the day.
Volunteer Roles
Session Onsite Support
Sets up in-room technology, keeps sessions organized, and supports audience Q&A
Session onsite support plays a key role in ensuring each Meaningful Care Conference session runs smoothly for both in-person and virtual attendees. This role involves setting PowerPoint slides and Zoom on the podium computer, coordinating with the Onsite Zoom Facilitator to test audio and visuals, problem solving tech issues, supporting presenters, and running the mic for audience Q&A.
Session Onsite Zoom Facilitator
Moderates Zoom at an in-room computer to create a seamless, accessible experience for online participants
The Onsite Zoom Facilitator ensures the virtual side of each Meaningful Care Conference session runs smoothly and stays aligned with what’s happening in the room. This role involves launching and managing the Zoom meeting, admitting speakers and attendees from the virtual meeting room, coordinating closely with the session onsite support to test audio, video, screen sharing, and interpretation services, and troubleshooting issues in real time. The Zoom Operator monitors chat, and reads audience questions aloud when needed.
Virtual Zoom Facilitator
Moderates Zoom from an offsite location (e.g. your house or office)
The Virtual Zoom Facilitator works with the Onsite Zoom Facilitator to communicate the audience experience and identifying any tech issues. (e.g. Can the online audience hear what’s happening in the room?)
Registration Support
Runs the registration desk by checking people in and orienting them to the conference
The role of the registration support team involves welcoming participants, checking them in, distributing name badges and conference materials, and providing parking validation as needed. Registration staff also answer logistical questions about the schedule, room locations, interpretation services, and use of the Whova app.
